LOCATION
Located approximately 100 kilometres east of Toronto, NHH is a vibrant community hospital delivering a broad range of acute, post-acute, outpatient and diagnostic services. Directly serving a growing population of more than 60,000 residents spread across a mix of urban and rural settings, NHH directly employs approximately 750 people and relies on the additional support provided by a highly engaged and supportive network of physicians, midwives and volunteers.
ROLE OVERVIEW
The Executive Assistant, Patient and Medical Services (EA) is responsible for supporting administrative functions for the above noted senior executive. This position supports the Vice President, Integrated Care, the Chief Nursing Executive (and other team members as requested) in various capacities, including but not limited to the following: prepares and coordinates correspondence; manages executive schedules; monitors and responds to information requests; prepares agenda, minutes, and packaged correspondence, maintaining accurate and updated records. Cooperates and coordinates with various associated committees and other departments a required, and ensures timeliness and efficiency of such correspondence.
This position also supports the office of the Chief of Staff for all matters relating to medical / professional staff affairs, managing the day-to-day operations of the Medical Staff Office. This role supports the administrative needs of the Chief of Staff and members of the Medical Advisory Committee, including the President and CEO, GMSA Executive, Department Chiefs, and Service Leads.
QUALIFICATIONS/REQUIREMENTS
- Post secondary education in Business Administration or related field
- 5 years of progressively complex senior administrative roles including specialized knowledge of Board of Governance procedures.
- Strong multi-tasking and communication skills; solves problems before they arise and is able to meet deadlines with frequent interruptions.
- Demonstrated sound judgment and discretion in dealing with highly confidential and sensitive information.
- Proactive in setting priorities, identifying issues and determining action required.
- Strong communication and negotiation skills with an ability to work in a collaborative environment with internal and external stakeholders to meet strategic corporate objectives.
- Self-directed, continual learner able to work with minimal supervision to plan, prioritize and proactively manage schedules, tasks, and changing needs.
- Excellent ability to see the big picture, anticipate problems, organize and coordinate appropriate responses.
- Superior interpersonal, written, and oral communication skills.
- Demonstrated organization, planning, time-management, and problem-solving skills.
- Ability to use a variety of software programs including advanced skills with Microsoft office suite
- Highly proficient with inter/intranets and virtual meeting platforms.
- Knowledge of, or experience in, non-profit organizations, Board support and meeting minutes.
- Knowledge of relevant healthcare legislative structures and practices in Ontario

EMPLOYMENT REQUIREMENTS
Successful applicants are required to provide a satisfactory vulnerable sector criminal reference check, that was complete less than one year from the date of hire. This requirement must be met within the first sixty (60) days of employment.
Additionally to the above, successful applicants are also required to complete the Health Care Worker Health review process which includes providing an up-to-date immunization record to ensure compliance with the Ontario Hospital Association Communicable Diseases Surveillance Protocols within the first thirty (30) days of employment. Northumberland Hills Hospital operates a mandatory COVID-19 vaccination policy for all staff.
